What do I need to do in order to get the second installment of my Erasmus grant?

The most important information at a glance

Upload your  Confirmation of Stay (PDF) to your Mobility-Online account within four weeks of your stay abroad coming to an end. 

You should also complete the EU Survey at the same time, which you will be asked via email to do. However, the EU’s new survey tool is not yet working properly. We will inform all participants as soon as the survey is made available.

You will then receive your second Erasmus installment (30% of the total).

Using the Instructions on writing your personal report (PDF) to help you, put together a personal report for the benefit of future Erasmus students and upload this to your Mobility-Online account too.

Recipients of Erasmus grants should be able to provide proof of at least 15 ECTS credits per semester in the transcript of records from their host university (except for doctoral students and those on short-term stays). If you have obtained fewer than 10 ECTS credits per semester, you will be able to make a hardship application (PDF), potentially in consultation with your Erasmus Departmental Coordinator, in order to retain your entitlement to an Erasmus grant.

The transcript of records from your host university and proof that the University of Bonn will recognize your achievements (transcript of records from BASIS showing the achievements being recognized or confirmation of recognition from your Examination Office/department) will need to be uploaded to your Mobility-Online account by July 15 (for stays during the winter semester) or December 15 (for stays during the summer semester/ academic year). Finally, complete the short survey on recognition straight into your Mobility-Online account.

If these documents are not submitted, you will be asked to pay back your Erasmus grant.

If you are not intending to have any achievements recognized in Bonn in accordance with your Learning Agreement Annex (as is the case for many law students) or you are a doctoral student, you will not need to upload any proof of recognition.

If you fail to submit the documents requested by the stated deadlines without good reason, you will be barred from receiving any more funding and will be required to return all of the mobility grant you have already been paid.

The Erasmus regulations state that only students who have submitted all required documents can receive a grant.


What do I need to bear in mind when obtaining recognition for my study achievements abroad?

In your Learning Agreement, you and the people responsible for recognition in your department will have determined how the courses that you complete successfully during your Erasmus stay will be recognized as part of your studies in Bonn (any exceptions will have been set out in a Learning Agreement Annex).

You will need to request recognition for your achievements earned abroad yourself by submitting the transcript of records from your host university (and potentially your Learning Agreement as well) to the Examination Office responsible (and, in some cases, your Departmental Coordinator).

More details on the recognition procedure, e.g. on how to convert grades, can be found either on the website of your department/institution or by asking your Erasmus Departmental Coordinator.

At the University of Bonn, achievements earned abroad are recognized on the basis of the examination regulations, which are in line with the Lisbon Recognition Convention.

The decision that is made on recognition is an administrative act against which you are entitled to appeal as a basic principle. You will find information on the appeal process in your recognition decision. However, you should always talk to your Erasmus Departmental Coordinator and/ or Examination Office first.

The time you spent studying abroad should also be included in your Diploma Supplement, and you will likewise need to request the corresponding note on your Diploma Supplement from your Examination Office.

Make sure that you also upload the transcript of records from your host university and your confirmation of recognition to your Mobility-Online account.


How can I get involved in intercultural exchange?

As well as enabling people to spend time abroad, the Erasmus+ Programme is also keen to strengthen their affinity with the European idea and their civic engagement. As a UN city with an international outlook, Bonn offers you ample opportunities for doing just that after your Erasmus experience is over:

At the Erasmus Student Network (ESN), for instance, you yourself can help to ensure that visiting students from other countries get settled in Bonn in no time.

In the Europa macht Schule (“Europe meets school”), you can bring visiting students from other countries together with school classes and help to show schoolchildren Europe from different angles. This video shows how much fun the program can be for everyone involved (subtitles available in English). The Back to School project (only available in German) gives you the chance to share your own experiences of living abroad. This video provides a brief explanation of the scheme (subtitles available in English).
